Why digitise a gym's membership card
In a gym, the front desk is a bottleneck: checking that a member is up to date, deducting a session, spotting an expired membership. With a paper booklet or a spreadsheet these actions take time, counting mistakes are common and the member never knows how many sessions are left.
A card in the Wallet answers all three: the member sees their balance and expiry date in their phone, the desk checks with one scan, and the card updates without paper or re-typing.
What the card contains
- The gym's name, logo and colours.
- The member number and the member's name.
- The remaining sessions, for session-pack plans (Club plan).
- The membership expiry date.
- A category, for example “Student” or “Full price”, if you define any.
Membership, session pack or both
A gym often sells time-based memberships (a month, a year) and session packs (ten entries). Both are managed on the same card: the expiry date for the membership, the session balance for the pack, which is deducted at each visit and topped up at the desk.
KARD offers two ways to set validity: a duration from the sign-up date (for example twelve rolling months) or a fixed date for everyone (for example the end of the season). The date is shown on the card in the Wallet.
Set it up in five steps
- Choose how you track members: expiry date, sessions, or both.
- Create the card with the gym's logo and colours from the dashboard.
- Display the sign-up QR code at the desk: the member scans it and the card arrives in their Wallet.
- At each visit, scan the card: the session is deducted and validity checked.
- For your existing members, import them in bulk and share a “Get my card” link.
What makes the front desk's life easier
- A single gesture, the scan, to check, deduct or renew.
- Access for your front-desk staff, protected by a code, to use a session, top up a balance or renew a membership.
- An automatic reminder before expiry (Club plan), to reduce forgotten renewals.
- A footfall chart by day and hour in the dashboard (depending on the plan), to set your hours and staffing.
Mistakes to avoid
- Keeping the paper booklet alongside: the team no longer knows which source is right.
- Not setting a clear renewal rule: decide whether expiry is a fixed date or rolling before importing your members.
- Forgetting to introduce the card to existing members: without an access link, they carry on with the old medium.
