The student union challenge: a committee that changes every year
A student union turns over every year. Member lists, paper cards and spreadsheets pass from hand to hand, and each new team starts from a more or less up-to-date file. At the door of a party, checking who has paid their fee is done with a pen or a printed list.
A card in the Wallet gives each member a proof of membership in their phone, and at the door one gesture is enough: scan the card.
What the card contains
- The union's name, logo and colours.
- The member number and the member's name.
- The expiry date, for example the end of the academic year.
- A category, for example “Member” or “Committee”, if you define any.
Validity that follows the academic year
For a student union, the fee usually covers the academic year: a fixed date common to all members is the simplest solution, and renewal happens at the start of the new year.
KARD offers two ways to set validity: a duration from the sign-up date (for example twelve rolling months) or a fixed date for everyone (for example the end of the season). The date is shown on the card in the Wallet.
Set it up in five steps
- Set the expiry date and your categories.
- Create the card in the union's colours.
- Display the sign-up QR code during freshers' week and at office hours.
- Check cards at the door of your events by scanning them.
- At the end of the year, hand the account to the next team: the members are already in the tool.
Handing over more easily
With KARD, members, their status and history stay in the account. The next committee inherits a clean base instead of a file to rebuild. Each committee member can have their own front-desk access, protected by a code.
Mistakes to avoid
- Keeping the paper list at the door alongside the scan: choose a single source.
- Forgetting to set the expiry date before the first sign-ups.
- Not planning a handover: write instructions for the next team.
