How to manage your members' rechargeable sessions (without a spreadsheet)

How the consumable-credit mechanic works, how to recharge it at the front desk, and why an automatic reminder before expiry cuts down on drop-offs caused by forgetting.

Gyms, clubs, sports schools: many organizations sell session packs instead of an unlimited membership. On paper or in a spreadsheet, tracking that balance session by session quickly becomes unmanageable as the member count grows. Here's how it works with a digital membership card.

1. The consumable-credit principle

Each member has a session balance attached to their card, 10 sessions, for example. Every visit, a front-desk scan deducts one unit from that balance, and the new total shows up immediately on the card in the member's Wallet, with nothing else to check.

2. Recharging a session at the front desk

When a member buys a new pack, your team tops up their balance straight from the front-desk interface, a few seconds, no re-entering their details or hunting for their record in a spreadsheet.

3. The automatic reminder before expiry

A balance nearing zero, or a membership coming up for renewal, triggers an automatic reminder sent straight to the member's phone, a nudge that, for many organizations, meaningfully cuts down on drop-offs caused by simply forgetting rather than genuine disinterest.

  • Session balance visible in real time, for both member and front desk
  • Top-up in a few seconds from the front desk, no spreadsheet
  • Automatic reminder before membership expiry
  • No app for the member to install
